Applications Student Conference Grant

Are you a student at Wageningen University & Research and have you been invited to give a presentation about your master's thesis or internship at a national or international conference? Then apply for a Student Conference Grant!
Who is eligible
Applicants must
- be enrolled as a student at WUR or have graduated no more than 6 months ago.
- have been invited to a conference.
- give a (poster) presentation at the conference.
- have a written recommendation from their academic supervisor.
- send their application at least one month before the conference.
Activities that do not qualify
- Presentations that are not linked to your study program in Wageningen, for example based on your volunteer work.
- An application submitted after the conference.
- Joining a conference only as a visitor.
- Costs for fieldwork, data collection, materials, etc. in the context of an internship or thesis.
- The costs of an extended stay as a tourist.
- Online presentations from Wageningen/your hometown.
Please note: it is not possible to apply for multiple conferences related to the same thesis, internship or ACT project.
Maximum amount of funding
University Fund Wageningen has a maximum amount available per year for this travel grant from donor contributions. To support as many students as possible the maximum amount granted is EUR 750. Per student a maximum of one grant per two years can be applied for. We allocate grants on a first-come, first-served basis.
University Fund Wageningen may decide to close the application opportunity during the year without prior notice, if the maximum available amount has been granted.
A contribution from the Student Conference Grant is a maximum of 50% of the travel and accommodation costs incurred. If applicable, the conference fee will be 100% reimbursed. Food and drinks are not subsidized.
How to apply
Please read the application criteria carefully before applying. Applications should be submitted at least one month before the conference via the application form below. Please use the budget template for your application. Applications can be submitted continuously and will be processed within 10 working days. Incomplete applications will not be considered.
We expect applicants to book economy flights and accommodation that is affordable for students.

Requirements
Students who are eligible for the Student Conference Grant must submit a complete application at least one month before the conference and account for their participation afterwards.
Within 6 weeks after the conference, participants must:
- submit a written final report and photos of your presentation and of your research work (if applicable)
- send the justification of your costs (scans of receipts, ticket, etc. with specification of VAT/'BTW' amount) - please be aware that without proof we are not allowed to reimburse the amount!
- contribute to PR for the University Fund Wageningen. This grant is possible thanks to donations from graduates and (former) employees. We would like to show them what they have contributed to.
Only after submitting your final report, photos and justification within six weeks you will receive the amount in your account. For more information about payment, see the FAQ.

- Based on your budgeted costs, a provisional grant will be awarded with a maximum of €750.
- Grants below €300 will be transferred after the conference and upon receipt of an evaluation report and final account.
- If the provisional grant is higher than €300 and if you would like to receive 50% of the provisional grant in advance, you must request this by sending an e-mail to ufw@wur.nl. Please include your bank details. After the conference, we will transfer the remainder based on actual costs.
You can apply once per two years if you are invited to give a presentation at conferences. It is not possible to reapply if you give a presentation on the same internship, thesis or ACT after two years.

No. We will make a new calculation based on your actual costs and deduct the advance that you have received. It is therefore possible that the final grant is higher or lower than in the provisional grant, but not exceeding the maximum of 750 euros.
Yes. Keep in mind: the grant is only applicable to a presentation at a conference, not for the stakeholders or the client.
